Make a Review QR Code Customers Can Actually Use

A review QR code is useful only if a customer can scan it, recognize the business and reach the intended review destination. Treat the sign as a small customer journey rather than a decorative square. Confirm the link first, build a readable layout around it and test the final printed version before placing it where customers will use it.

Get the destination from the right business profile

Google provides a review-request link and QR code from the Business Profile review area. Its current instructions direct managers to Read reviews and Get more reviews; QR generation is available in a computer browser. Confirm that the selected profile belongs to the correct business and location before copying the link.

Keep the exact verified destination in your project record. Open it separately and check the business identity shown. If you use a design tool to generate a branded QR from that link, the tool should encode the destination you supplied. Creating a visually valid QR does not establish that the link is the right one, that the profile is available or that the customer can complete the review.

Write a neutral invitation

Ask customers to share their experience without telling them what rating to choose. The sign should explain what the code opens, using language such as ‘Scan to share your experience.’ Avoid making a positive rating a condition of receiving help, a benefit or a reward. Google prohibits incentives in exchange for reviews, including changes to or removal of reviews.

Plan when and where the request will be offered. Use a consistent approach for eligible customers rather than screening people by whether they appear satisfied. A staff member can explain what the sign is for, but should not pressure someone to write a review while being watched. Give the customer room to decide whether to participate.

Illustrative sign copy

‘How was your experience? Share your honest feedback about Cedar Workshop. Scan to open our review page. Need help reaching the page? Ask our team for the link.’ Cedar Workshop is fictional. Replace the business name and use the verified destination for your actual location.

Keep the code clear inside the design

Give the QR a plain, high-contrast area with clear space around it. Do not place text, decorative lines or a logo over the code simply to make it fit a brand style. Use the surrounding headline, border or background for branding while keeping the code itself easy to distinguish.

Choose the finished sign size and placement before exporting. A counter card viewed nearby has a different setting from a poster across a room. Avoid relying on a tiny screen preview to decide whether the code is large enough. Keep the business name, request and help instruction readable at the position where a customer will stand, including under the actual lighting.

Test the exported file and a printed proof

Scan the exported image or PDF from a second device when possible, then scan a printed proof at its intended size. Confirm that the destination is still correct after export and printing. Check the actual material and placement, because glare, folds, cropping or a display stand can interfere with the code even when the original digital version worked.

Follow the route far enough to understand the customer’s experience without posting a fake review. Note any sign-in requirement or confusing destination. If the scan fails, check the printed size, sharpness, contrast and clear border before adding more decoration or producing the full print run. A successful scan is a functional check, not evidence that customers will leave reviews.

Provide a fallback and a replacement record

Keep a plain-text version of the verified link available for staff to share when scanning is inconvenient. If you display an alternative website address, it must be a real route you control and have tested. Do not invent a short address or imply that a branded design tool automatically creates one.

Record where each sign is displayed, the destination it uses and the date of its last check. Recheck the sign after profile, location or website changes. Remove outdated copies rather than placing a new card beside an old one that leads somewhere different. Keep the editable project so you can replace the artwork without rebuilding the entire layout.

  • The QR opens the correct business review destination.
  • The request is neutral and offers no review incentive.
  • The final printed proof scans in its intended setting.
  • Staff can provide a tested fallback link.
  • The displayed copy has an owner and review date.

Your next step

Prepare one sign and one printed proof. Test the actual destination and placement before distributing additional copies, then save the destination and test date with the editable design.
